How enquiries and events work

A pipeline for private hire and large groups: capture an enquiry with all its details, track it to confirmation, and set up events guests can book or register interest in.

When you'd use it

Read this first to see how a private-hire or large-group request moves from first contact to a confirmed booking or event.

How it behaves

Every hire enquiry lands on one board with a stage and an owner, so you always know what is live, who is chasing it and the money on the table. An enquiry arrives from your website enquiry form or is added by hand, becoming a card with the guest, party size, date and the budget they gave you.

You message the guest by email or text from the enquiry with templates and files, move it through pending, in-progress, tentative and booked, and send a deposit link that chases itself. Once confirmed, the enquiry becomes a booking on your day-planner with the guest, requirements and any pre-orders attached.

Events are set up with their own menu, deposit, party-size limits and capacity, and can run a single night, a continuous run of days, or a handful of separate dates. A space can be made enquiry-only, so a hire always comes through the pipeline first.

Configuration and options

Enquiry board
Every hire request as a card with a stage and an owner.
Stages
Pending, in-progress, tentative, booked.
Event
A set-up occasion with menu, deposit, limits and capacity.
Deposit link
A payment link that reminds and auto-cancels the hold if unpaid.
Enquiry-only

Good to know

A confirmed enquiry becomes a real booking on the day-planner, so nothing is re-typed on the night.

The budget on each card rolls up into a pipeline value, so you see the money in play across every stage.
